Job Description

Administrative Assistant:

  • Book flights, accommodation, ground transportation, ensuring best scheduling and best fares;
  • Proactively manage calendars and scheduling
  • Set up meetings including phone and video conferences; coordinate times, arrange venues, organize catering
  • Monitor managers’ phones and email communications as agreed
  • Set up mentor programs as required; may involve scheduling meetings with individual mentees or groups
  • Ensure that performance documents for mentees are completed – keep a schedule of EPEs and follow up
  • Co-ordinate and assist with individual marketing initiatives as agreed with Partners and Principals including arranging client meetings, distributing firm collateral
  • Monitor expense claims and complete timesheets

Engagement coordination:

  • Assist team travel where appropriate
  • Assist with report production when required       

Shared Office Responsibilities

  • Assist when requested with setting up, catering and clean up for client and internal meetings and events
  • Assist when requested with arranging firm building and client functions including end of quarter events, mid- year function, end of year function, in house and off-site training as well as marketing and alumni functions
  • Ensure office space, meeting rooms and kitchens are kept clean and tidy throughout the day
  • Assist with answering phones and welcoming visitors
  • Work as a team with other AAs to cover busy periods and peers taking leave
  • Newcomers onboarding scheduling coordination
  • Assist other office related miscellaneous task
    • Assist when requested with interview scheduling
    • Assist when requested with preparing paperwork for work visa
    • Assist when requested with New Joiner Pre-Onboarding (laptop, email address, AMEX form) preparation 
    • Assist when requested with offboarding - last day infra (laptop, access card) collection for Manager and below

Educational Background

  • Diploma degree or equivalent
  • Business Administration training

  • Advanced Microsoft Office skills (PowerPoint, Word, Excel, Outlook)
  • High level of customer service orientation
  • Professionalism and maturity
  • Ability to work independently and establish personal workflow patterns
  • Highly developed organizational skills and attention to detail
  • Proactive in recognizing and anticipating needs of the work group
  • Good communication skills, both verbal and written
  • Ability to establish relationships at all levels within A.T. Kearney
