The New York Office Services Assistant will work closely with team members and other colleagues to provide support for daily office operations. This includes assisting consultants and members of the management services with all office and administrative requirements and objectives. Proactively seeking effective and efficient ways to improve processes and procedures pertaining to assigned responsibilities is key.
This is a full-time, in-office position, Monday-Friday, 8:30 AM to 5:00 PM.
Key Responsibilities:
- Conduct daily office walkthroughs to ensure all spaces, including pantries, meeting rooms, and common areas, are clean, stocked, and in client-ready condition.
- Monitor and report facility maintenance issues promptly; submit work orders and coordinate with property management and vendors for resolution.
- Maintain office organization standards, including updating room nameplates, posting and removing informational signage, and ensuring whiteboards are cleaned and shared supplies are replenished as necessary.
- Manage incoming and outgoing mail and packages, using courier services DHL Express for international and FedEx for domestic shipments. Local same day courier services may also be used when required.
- Oversee the functionality and upkeep of all office equipment that include MFPs, punching and binding machines and any other types of postage equipment
- Maintain organized supply closets and cabinets for office and pantry supplies ensuring the restocking is consistent on an as need basis. Support vendor relationships to ensure cost-effectiveness and timely delivery of qualitative products.
- Support internal and client-facing meetings by arranging rooms, managing catering setup and cleanup, and providing document printing and binding support.
- Assist with reception duties as needed, including welcoming guests, directing calls, and maintaining a professional and courteous front desk presence.
- Foster strong working relationships with colleagues, visiting employees, and leadership across offices and departments.
- Support special projects and firm events, occasionally requiring flexibility outside regular office hours.

- Strong professionalism: reliable, conscientious, able to interact comfortably and confidently with a wide variety of people, and able to work flexible hours when required
- Ability to lift and move items weighing up to 30 lbs., as needed to support office operations and event setup
- Minimum of 2 years of professional office experience
- Good verbal and written communication skills; careful attention to detail & accuracy
- Ability to work independently and contribute to a team
- Adherence to dress guidelines or policy
- Good working knowledge of Microsoft Office Suite; Word, Excel, Outlook, PowerPoint, and Teams
- Willingness to learn other internal systems and interest in knowledge growth

New York Office Services Assistant compensation range: $52k – $66k. It is important to note that at Kearney, it is not typical for an individual to be hired at the top of the range for their role. Individual salaries within each range are determined through a wide variety of factors, including but not limited to education, experience, knowledge, and skills. Kearney reviews compensation regularly and may adjust base salaries to reflect market competitiveness. In addition to salary, individuals may be eligible for a discretionary performance bonus.
