About the Role

Kearney’s Washington, D.C. office is looking for a full-time Receptionist to provide general reception operations and administrative services, provide support for consultants and administrative professionals, and take care of the office maintenance and ordering supplies. This role will report to the DC Office Manager.

Responsibilities

Office Culture

  • Open office daily at 8:30 AM  
  • Greet and announce visitors warmly, promptly, and professionally
  • Maintain a daily roster of visitors in & out
  • Manage visiting guests’ requests
    • Provide Wi-Fi login information
    • Reserve office and conference spaces
    • Distribute temporary building access badges
    • Coordinate car service or parking request
    • Suggest local attractions, places to eat, etc.
  • Provide support to new employees
    • Distribute and manage building fobs
    • Share office calendar invites
    • Schedule meet and greets with office leadership
    • Provide support to set up new laptop and phone
  • Support and troubleshoot audio/visual, computer, internet needs
  • Support DC office events
    • Set up and take down office equipment and catering
    • Set up audio/visual needs
    • Provide support to identify event space
    • Review contracts
    • Manage attendance
    • Create name tags
  • Support DC office community
    • Manage DC office email distribution list
    • Update DC Facebook
    • Update meeting materials
    • Distribute office announcements
  • Ensure office standards are maintained
    • Maintain clean office spaces
    • Start and unload dishwasher
    • Replenish snacks
    • Ensure maintenance is conducted on all kitchen appliances; work with building engineers or facilities support when needed
    • Water plants

Office Support

  • Take care of the office in line with confidentiality policy of the company (morning and evening check)
  • Answer all incoming calls to reception promptly, transfers calls if necessary (use “mute” button if appropriate)
  • Ensure callers are not placed on hold for too long 
  • Follow procedures for handling emergency situations
  • Make emergency evacuation calls, when required
  • Respond to employee or visitor medical emergencies, when required
  • Support and troubleshoot with IT or local provider for internet, audio & visual in office
  • Provide general Office Services support to all levels of staff (printing, binding, place service calls, shredding, etc.)
  • Collect and distribute mail
  • Maintain office cleaning/maintenance schedule

Other Duties, as assigned

  • Provide overall support to DC as requested
  • Order catering, office food, stationary, and other supplies
  • Maintain sufficient levels of office food, stationary, and other supplies
  • Process expense claims/invoices and attach all relevant receipts
  • Book travel and accommodation
  • Prepare and collect IT assets

Qualifications

  • High school diploma, minimum
  • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Trouble shooting basic internet, audio/visual issues in conference type set up
  • Utilization of expense, time, and travel platforms
  • Strong interpersonal skills and ability to interact effectively in a friendly and professional manner
  • Excellent etiquette
  • Ability to handle difficult and irate callers gracefully; take accurate messages and deliver them quickly
  • Proactive and efficient follow-up skills with ability to manage and communicate deadlines
  • Take ownership of callers’ requests; actively seek appropriate person to refer callers
  • Flexible and team player
  • Passion to take initiative and responsibility for the office culture
  • Flexibility with regard to working hours; ability to adjust schedule and work overtime when necessary
