About the Role

Kearney is looking for an Office Manager for its Toronto office. This position manages the effective operations of the Toronto office activities including personnel administration, office services, vendor relations, office budget, facilities management, and administrative support. 

Responsibilities

Office Operations

  • Overseeing daily onsite operations of the office environment including facilities, janitorial, and office equipment
  • Maintaining office security and safety; initiating appropriate actions to ensure security
  • Coordinating onsite facilities management functions which includes, but is not limited to:
    • Office/workstation assignments
    • Telephone and network system management/modifications
    • Office maintenance and housekeeping
    • Decorating and remodeling
  • Liaising with building management, architects, designers, general contractors, subcontractors, and furniture/equipment vendors when required
  • Developing and maintaining local vendor relationships as well as working with national account relationships
  • Participating in the evaluation, recommendation, and installation of office equipment and systems
  • Coordinating and monitoring all maintenance contracts to ensure cost-effectiveness, need, and timely renewal
  • Maintaining appropriate supply inventories
  • Developing and maintaining annual office budget
  • Approving, coding, and processing invoices for payment
  • Monitoring office expenditures and conducting periodic cost analyses/recommendations
  • Developing and maintaining cost-effective and controlled purchasing procedures
  • Supervising office administrative employees
  • Working alongside the Toronto Office Lead to support:
    • Recruiting, interviewing, and hiring of new employees
    • Assigning workload
    • Coordinating and conducting performance reviews
    • Addressing performance issues and disciplinary actions

Human Resources

  • Providing administrative support, workstations, file space, and equipment for employees
  • Onboarding new employees which may include arranging business cards, corporate credit cards, information on employee benefits, and other necessary paperwork
  • Acting as the local office contact for real-time payroll matters to ensure accuracy in payroll execution
  • Coordinating with the Chicago Payroll team in the planning and processing of Toronto’s bi-weekly payroll
  • Acting as liaison for office employees with payroll and benefits issues
  • Directing employees to appropriate corporate departmental contacts for human resources issues
  • Managing and administering the Toronto office’s benefits programs
  • Recommending enhancements and/or new benefits to retain market competitiveness to the Toronto Office Lead as needed

Information Technology (IT)

  • Acting as liaison for KnowledgeNet for procurement of assets and asset management which includes the collection of assets and termination of asset ID’s

Immigration

  • Managing and administering the Canadian Immigration program for Canadian consultants working in the US as well as US/global consultants working in Canada
  • Assessing employee backgrounds to recommend best approach to successfully obtain work permit status
  • Providing counsel and guidance during the application process

Legal

  • Acting as the local office contact for the purposes of legal representation (i.e., administering corporate provincial invoices, filing Board of Directors resolutions in the firm’s minute books)

Qualifications

  • Undergraduate degree required (advanced degree or significant work experience in related areas desired)
  • Strong oral, written and analytical skills
  • High level of professionalism
  • Excellent judgement
  • Ability to interact with all levels of employees
  • Organized, motivated, self-directed team player
  • Strong working knowledge of Microsoft Suite
