Key responsibilities
  • Executive Support: Assist the Senior Team (C-suite level) in effectively managing their day-to-day activities, including calendar management, organizing logistics and travel for business trips, scheduling meetings and video conferences, handling expense administration, and performing other related tasks.
  • Business Development Support: Actively contribute to business development initiatives led by the Senior Team in the Warsaw Office. Responsibilities include developing contact lists, scheduling client meetings, preparing and sending business correspondence, and assisting with logistics and preparations for pitches, workshops, and conferences.
  • Office and Team Events: Support the planning, organization, and execution of various office initiatives and team events
  • General Office Assistance: Provide additional support for the Warsaw Office as requested by the Office Manager, such as reception duties, tender support, and catering coordination.
What skills and knowledge you will need to succeed:
  • Interpersonal Skills: Friendly, reliable, professional, trustworthy, and a strong team player.
  • Problem-Solving: Proactive approach to challenges, with a focus on identifying and implementing solutions.
  • Emotional Intelligence: Demonstrates professional composure, empathy, resilience, and self-awareness.
  • Organizational Skills: Exceptional ability to prioritize and manage multiple tasks seamlessly, with keen attention to detail.
  • Language Proficiency: Fluent in both oral and written Polish and English.
  • Technical Proficiency: Proficient in MS Windows and MS Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Confidentiality: Proven ability to handle sensitive and confidential information with professionalism and discretion.
  • Experience: A minimum of 1 year of corporate, business, or administrative experience, preferably supporting C-suite executives.
  • Education: A university degree is welcomed, and supplemental coursework at the university level is preferred.
